T&cS

Our T&Cs are in place to ensure a safe, enjoyable and professional learning environment for both the students and staff. Outlined below are the following policies and guidelines which can be found in greater detail later on this page :

  • Eligibility & Attendance – Our Club is for adults only, with no exceptions. We also outline who may attend classes and how they may be viewed by anyone interested in attending a class.

  • Health & Safety – Your well-being is our priority. We explain our approach to safe partnering, independence in dancing and the responsibility of students to judge their own physical capabilities.

  • Classroom Etiquette – We have in place behaviour expectations, hygiene standards, and dress code and footwear recommendations, to maintain a respectful and comfortable environment.

  • Cancellation & Payment – The Club has clear policies on booking, payment and our cancellation policy for private lessons, first dance tuition, workshops and dance events.
     Special Considerations – We have measures for accommodating students with additional needs, including policies for vulnerable adults and students requiring physical support.

  • Club Operations – Information can be found on weather-related closures, parking responsibilities and expectations regarding supervision before and after lessons.

  • Intellectual Property & Integrity – Our stance on video sharing, entertainment-based requests and the professionalism of our teaching approach is also outlines.

  • Complaints Procedure – We are committed to maintaining a positive and respectful environment. If you have a concern or complaint, we encourage you to speak with us directly so we can address it promptly and fairly. Our procedure ensures that all feedback is taken seriously and handled with professionalism and confidentiality.

By participating in our classes, you agree to abide by these policies, ensuring a positive experience for everyone. If you have any questions or require further clarification, please do not hesitate to ask.

ADULTS ONLY
We are an adult dance club. We do not teach any persons under the age of 18 in classes. There are no scenarios or exceptions to this.
​
ATTENDANCE
Only participating members who have paid may be present in the class. Those who may want to view a class before joining may either view the first or last 5 minutes of the lesson.
​
WAITING AREAS
We do not provide waiting areas for adults or children who are waiting for a class member's lesson to end. There are no scenarios or exceptions to this.
​
YOUR CAPABILITIES 
The Coastal Dance Club is not a medical organisation and will not give medical advice or diagnosis. All suggestions and comments relating to the use of equipment, exercises and tuition are not required to be performed by you and are carried out at your election while attending tuition in person, viewing Coastal Dance Club videos or live zoom classes.

Nothing contained in the website or any document produced by the Coastal Dance Club should be construed as any form of such medical advice or diagnosis. By taking part in any tuition you understand that physical exercise may involve strenuous physical movement, and that such activity carries the risk of injury, whether physical or mental.

You understand that it is your responsibility to judge your physical and mental capabilities for such activities. It is your responsibility to ensure that by participating in classes and activities from the Coastal Dance Club, you will not exceed your limits while performing said activities, and you will select the appropriate level of classes for your skills and abilities, as well as for any mental or physical conditions and/or limitations you have.

​You expressly waive and release any claim that you may have at any time for injury of any kind against Coastal Dance Club, or any person or entity involved with Coastal Dance Club, including without limitation, its directors, principals, instructors, independent contractors, employees, agents, contractors, affiliates and representatives.
​
SAFE PARTNERING
If a student is unsteady on their feet & requires some support from Steven, only 30 or 45 minute private lessons are available to reduce the strain it will place on Steven's body. If a student's instability is of concern to Steven, the lesson will cease and a full refund will be given.

Within a class learning environment it is expected that a student may need some physical assistance with regards to leading or following, however  a student will not be partnered by any person if that student is deemed to place unnecessary pressure on a partner's body.  Students will be asked to dance solo until they can demonstrate some independence.


INDEPENDENCE
Teachers are not allowed to teach a student who uses a support device such as a walking stick or zimmer frame. The concern in a public class environment is not only for the welfare of the student who needs support, but also for other members of the class. With a note from a GP, private tuition may be possible.

HEALTH & SAFETY
We are proud of the safe environment we provide for all our members. Your health and safety is of the upmost importance to us.

All teachers are fully insured and qualified in dance, but are not qualified to assess whether they should teach a student whose reasonable physical or mental state is questionable or causes any concern to the teacher.

If any teacher feels that a student is unwell, or feels uncomfortable teaching the student, the teacher may discontinue tuition. 

If a student has any health issues that are of concern to the teacher, the student will be asked to provide a medical note. Once a note from a GP has been obtained, tuition can commence. A number of our members have various health issues and have provided us with a note from their GP confirming they can attend dance lessons.

DRESS CODE & FOOTWEAR
There is no dress code. Wear comfortable and sensible shoes (no flip flops, bare feet, loose fitting shoes or stiletto heels that may damage the floor). Please do not add chalk or powder to the soles of your shoes.​

VOUCHER EXPIRY DATE
Every voucher we issue is given a 6 month expiry date. Whilst it is common practice that a voucher terminates on the given date, please contact us if you need to extend the voucher. There is a £10.00 administration fee for this. This fee will extend your voucher by 3 months. This can be paid via bank transfer. Please Note: If your voucher is more than 3 months out of date (including an extension) then we simply add £5 per month thereafter.

RIGHT TO SAY NO
If any student does not wish to dance with a teacher, volunteer or another student, they have the right to say no.
​
WEATHER POLICY
Please do not assume the Coastal Dance Club will close due to weather. If tuition is cancelled, notification will be given to all members via social media, email, our website & our free text messaging service.
​
CHEWING GUM
For your safety, please do not chew gum during your lesson. If any teacher observes a student chewing gum, it must be disposed of before teaching resumes.
​
REASONABLE SUPERVISION
The Coastal Dance Club and its teachers are only responsible ​for your supervision when you are visible during your designated lesson time slot. Once you leave the dance floor and/or room/building, you are responsible for your actions and/or incidents before and after your lesson slot, either inside or outside of the building.
​
OUTSIDE SPACES
The Coastal Dance Club only hires the buildings that are used for tuition. It is not responsible for the internal or external maintenance. All students entering or leaving the building are themselves responsible for avoiding any potential hazards. This may include, but is not exclusive to, busy roads, poor lighting, damaged paving and wet surfaces.

CAR PARKING
The Coastal Dance Club only hires the buildings that are used for tuition. You must accept that you leave your car at your own risk and that the Coastal Dance Club and its teachers will not take any responsibility for your personal parking choice. 
​
PLEASANT WORKING ENVIROMENT
If a student's actions cause any member of staff to feel uncomfortable being in the presence of that person, the student will be asked to cease attending the Dance Club if the behaviour continues once the discomfort has been raised.

BEHAVIOUR
Whilst we pride ourselves on our fun and relaxed learning environment. Any person whose behaviour has a negative impact on the enjoyment and learning experience of the other students, or who is rude to anyone present, will be asked to leave. Students and teachers have the right not to be subjected to mental or physical stress, or violence, nor any form of sexual, discriminatory, psychological or emotional abuse. We are pleased to say such an incident is incredibly rare; in the last two decades, only one couple has been asked to leave due to being intoxicated.

HYGIENE
The teacher of the class and staff, as well as the students have a right to enjoy their dancing whilst basic hygiene standards are met to ensure a comfortable environment for everyone. If the teacher feels that basic hygiene has not been upheld or that multiple students have complained that someone's hygiene is making them feel unwell, the issue will be addressed with the individual privately and sensitively. They will be asked to leave the room if the issue persists. They will not be able to return to the room until the situation is resolved.

ALCOHOL OR DRUGS
The Coastal Dance Club's teachers will not teach any student under the influence of any substances.
​
VULNERABLE ADULTS
The Coastal Dance Club acknowledges the following vulnerable adult definition(s). A person aged 18 or over who is or may be:

  • In need of community care services by reason of mental or other disability, age, or illness and who is or may be unable to take care of him/herself, or unable to protect him/herself against significant harm or exploitation.
 
  • Receives personal care, or nursing, or support to live independently in their own home or in a care home.
 
  • A person with a substantial learning disability.
 
  • A person with significant reduction in physical, mental capacity or sensory disability and/or illness, chronic or otherwise.
​
  • A person who has a mental illness or dementia and/or has a substantial reduction in physical or mental capacity due to age related frailty.

The Coastal Dance Club offers tuition to vulnerable adults with the understanding that a suitable person(s) such as a nurse, carer, family member or friend will be present at all times.

Dance teachers must not be left alone in the room with a vulnerable person. The person who is present on behalf of the vulnerable person must acknowledge that they cannot leave the room at any point during tuition and that if they do so, all teaching during that session with the vulnerable person will cease. If tuition ceases, the vulnerable person(s) will then receive a refund for the remaining tuition time not received. If a vulnerable person(s) is left unattended during the tuition, the Coastal Dance Club will create an event report and deliver this document to the necessary organisation's manager and/or service department.

If the safety of other adults in the room (vulnerable or not) may be compromised, vulnerable adults may be encouraged to attend private tuition to avoid unnecessary harm to any person(s) including themselves.

​Examples of compromised safety may include, but are not exclusive to, a vulnerable person who cannot move without support; unnecessary actions such as waving arms that may lead to another person in the room being struck and/or harmed; the use of bad language or behaviour making other persons in the room feel unsafe or uncomfortable.

The Coastal Dance Club understands that actions by vulnerable persons may be unintentional, involuntary or done without will or conscious control. However, it must be understood the Coastal Dance Club is not a health or care facility, medical organisation or support group and the teachers are not qualified health professionals. Students and teachers have the right to not be subjected to mental or physical stress, or violence, nor any form of sexual, discriminatory, psychological, or emotional abuse.

​Cancellation Policy

Notification Method: Please do not cancel or change times via text message, Facebook, email or via friends. To cancel a Private Lesson, telephone Maggie on 07759311697. 

Private/First Dance: Cancellations of less than 48 hours’ notice will be charged in full​. Rescheduling a lesson without 48 hours’ notice will still incur the standard cancellation fee. Transferring or swapping your booking with another student is not possible.

workshop booking policy

  • Please do not arrive at a Workshop without giving us advance notice.
  • Non-refundable payment in advance is necessary to secure your place.​
  • Contact Maggie for bank transfer details.

(a) Please only request tickets if you know you can attend.

(b) Once tickets have been requested, payment is due within 48 hours to secure your place.

(c) Tickets are non-refundable and cannot be transferred to any other event or person(s). ​

(d) Payment within 48 hours is each individual's responsibility. Reminders to pay within the specified 48-hour time period will not be issued.

(e) Some individuals may unfortunately discover their tickets have been sold if they fail to pay within 48 hours*.

(f) No tickets will be issued. Names are added to an attendance list.

(g) We accept payment in person or via bank transfer.**

​(h) Please do not make payment until your booking has been confirmed.


*Section (e): exceptions are made for those who contact us to inform us of a reason for delayed payment. A date for payment will then be agreed upon.

​**PLEASE let Maggie know when you make a bank transfer and the bank reference you have given. She will then confirm receipt of funds with you. 

  • NEVER write generic references such as dance, class, practice, private etc.
  • Put your first name(s) followed by the date of the event e.g. Maggie Steven 14/2

Private & First Dance Tuition

BOOKINGS, PAYMENTS & TIME SLOTS
Please discuss additional lesson bookings at the start of your lesson or contact Maggie. Payment is due at the start of the lesson. If payment is unavailable, please pay within 24 hours. Failure to pay within 24 hours will result in a £5 additional fee being added to the outstanding fee.

We offer time slots and not a duration of time. For example, if the hour time slot starts at 10:00am and the student arrives at 10:15am, whilst the lesson duration would consequently be 45 minutes, the fee will still be that for the hour booked.

On occasions lessons may start a few minutes late due to unforeseen circumstances. If this occurs, you will still have your full lesson duration. If you must leave at the original finishing time, we will refund you the outstanding time.

PARTY DANCES
The Coastal Dance Club does not offer party dances or entertainment services. The term 'dance club' rather than 'dance school' indicates that our students do not take part in exams or competitions.

​Whilst we pride ourselves on our fun and relaxed learning approach and environment, teachers within the Coastal Dance Club are professionally trained Ballroom and Latin teachers. They have spent many years training and tens of thousands achieving their personal goals. Their main objective is to lead students to their desired successful outcome. This is achieved primarily through a structured and technical, bite size sequential learning process. 

Please do not ask us to teach an individual, couple or group "to keep them entertained", or "to make them feel like they've learned something", nor "to make them feel like they've been on Strictly Come Dancing". Teachers at the Coastal Dance Club pride themselves on their level of expertise. All teachers at the Coastal Dance Club feel incredibly uncomfortable being asked to do so; they feel such requests would call upon them to compromise on their professional integrity, which they will not do. The Coastal Dance Club will not allow any teachers to take part in such requests.

Video & Zoom Tuition

1. I agree​​ not to share any video I have purchased to any online platform.

2. I agree​​ not to share any video with any person(s) other than my dance partner.

​3. I agree that any injury occurred either during live zoom tuition or watching these video is the user's fault.*
​

4. I agree that the Coastal Dance Club and any of the teachers associated with the club are not responsible for any of my actions that may lead to my personal injury.

Complaints Procedure

Coastal Dance Club 
At Coastal Dance Club, we are committed to providing a safe, enjoyable and inclusive environment for all our members. If a student has a concern, feels uncomfortable or experiences any form of distress caused by another student, we encourage them to follow the complaints procedure outlined below.

Addressing the Concern Informally
If you feel comfortable doing so, we encourage you to address the concern directly with the individual involved in a polite and respectful manner. Misunderstandings can often be resolved through open and honest communication.

Speaking to the Club Staff.
If you do not feel comfortable addressing the individual directly, or if the issue persists, please bring your concern to the Club Staff. You may do this in person, via email, telephone, text or through a written note. The staff will listen to your concern and assess the situation.

Formal Complaint Submission
If the issue remains unresolved, you may submit a formal complaint in writing. This can be done via email to [email protected] or by handing a written complaint to a member of staff. Please include the following details:

  • Your name (anonymous complaints may be harder to address but will still be considered)
  • The date and time of the incident
  • A description of the issue
  • Any previous steps taken to resolve the matter

Review and Investigation
Once a formal complaint has been received, the Club will:
  1. Acknowledge receipt of the complaint within 5 working days.
  2. Conduct an internal review, which may involve speaking with the involved parties and any witnesses.
  3. Keep the matter confidential where possible, while ensuring a fair and thorough review.

Resolution and Outcome
Based on the findings, Coastal Dance Club will take appropriate action, which may include:
  • Mediation between the involved parties
  • Issuing a formal warning
  • Requesting a behavioural change
  • Asking a student to leave if their behaviour continues to negatively impact others

We aim to resolve complaints within 14 days of receipt. If further time is needed, we will communicate the expected timeframe to the complainant.

Zero Tolerance Policy
The Coastal Dance Club has a zero-tolerance policy for any form of harassment, discrimination, intimidation or abuse. Any complaints related to these matters will be taken seriously and addressed promptly.

Confidentiality
All complaints will be handled sensitively and confidentially, with information only shared on a need-to-know basis.
